The Power of Business Systems

If you don’t have business system in place then you don’t have a business!

I know that’s a bold statement but it’s the truth. The simple fact of the matter is that if you have to work ‘in’ your business every day in order to keep the cogs turning then you don’t have a ‘business’. You have a job.

The truth of the matter is that for my first 18 months online I had a ‘job’ too. Yes it paid (very) well, but if I stopped working one day for some reason it wouldn’t be long before my income streams started to slow and the business shrank.

This wouldn’t happen overnight of course.

In fact I’d pretty confident that had I stopped my online business six months ago I’d still be making some money in six years.

But my point is that if you really want to build an online ‘business’ that functions without you then at some point you need to think about developing systems that allow you to work on the business and not in it.

You need to create an entity that can function without your daily input, leaving you free to plan for growth or maybe just enjoy life.

For the last two weeks I’ve been hard at work developing a top secret new product that I know you’re going to love. I can’t say too much except for the fact that I think it’s going to help a lot of people make a lot of money fast.

During this two week period there a few things that you should know…

I have NOT logged into 1Shopping Cart
I have NOT approved any blog comments
I have NOT answered my phone
I have NOT answered any support tickets
I have NOT generated any new leads
I have NOT logged into Paypal once

And there are a lot of other things I haven’t done too!

But because I have clear and powerful systems inside my business these tasks HAVE been completed each and every day.

My customer support has never been better and ALL tickets are answered twice daily and we even provide in house live chat. New leads have been generated and JVs have been struck.

And this has all happened without my input because of the systems I’ve put in place on the inside of my business.

For a long time I was nervous about ‘letting go’ as I felt that if I wasn’t personally serving my customers then I was somehow letting them down. This couldn’t be further from the truth!

The reality is that what was letting my customers down was my arrogant insistence that I could do it all by myself, even as my business grew fast. I’ll be honest and say that at times it felt things were spinning out of control and I didn’t know what to do.

In my first 30 days I sold 1,200 products. I was a full time teacher working on my business three hours a night. I was overwhelmed with the volume of work that had to be done, and this DID cause growing pains. Others say you shouldn’t admit weakness, but who cares what they say?

I made a bucket load of cash but I wouldn’t be telling the truth if I said it was easy. At time it was very tough indeed.

Sometimes support tickets would fall through the cracks. Emails would go missing. I’d forget urgent tasks.

This doesn’t happen any more and now my customers get the best service in the Internet Marketing world.

And the truth of the matter is that I’ve never felt more in touch with my online business…despite the fact I no longer deal with any of the operational issues!

Heck, I could go on holiday for a month and not visit the office once and the business would still grow, and I’d still feel in tune with the performance of my business.

Even though I’m now longer working ‘in’ my business I feel I have a crystal clear grasp of what’s happening and when. I feel deeply connected to my business, my market and my prospects despite the fact I’m no longer dealing with any operational issues.

How? Because of the systems!

Everyday at 3pm James (my ops manager) produces a ‘Daily Report’. If I’m in the office he hands it to me and if I’m out he emails it as a PDF.

It has 2 sections….

#1 An excel spreadsheet showing Key Performance Data each day for the whole month.

This sheet takes 15 mins each day to put together and contains more than 20 different Key Performance Indicators for my business. One glance at this badboy and I can see how many sales we’ve made, how many new affiliates we have, how many refunds, and so on.

#2 A one page feedback and action report

On this page my manager basically outlines customer feedback, questions and action points, ideas, market activity, and upcoming appointments.

If a customer is unhappy about something then it’s listed here. If James has an idea how we can make more money then he details it here. If someone in our market sends an interesting newsletter then I get told about it in this section.

These two daily docs allow me to have a crystal clear view of what is happening in my business each and every day.

Because of the systems I have in place I’m free to spend my time how I want, safe in the knowledge that my company is functioning perfectly well without me.
I know exactly what’s happening in my business better than ever before, and my customers are enjoying fast, reliable, prompt service.

And I’m finally getting to enjoy the Internet lifestyle I dreamt about.

In two weeks I’m off to Prague for a mini holiday. I won’t be taking a laptop. I won’t be connecting to the Internet. And while I’m drinking beer and having fun I’ll be relaxing safe in the knowledge that my business is working without me.

And it’s all because of the systems!

Do you have systems in your business that allow it to function without you? If not you need to start developing them fast or you’ll quickly find yourself chained to your PC with no obvious route of escape.

Every business owner should strive for what you have Lee. I think it’s what we all want when we start our businesses, but many people don’t push past the “letting go” phase.

Hi Lee,

That is what business is all about. Building systems and processes that work for the business.

Once build up, we can start to outsource these business processes.

This is how MacDonald function right?
